01The brief
The problem
Our product launches usually take between three and four months, and coordinating everyone involved is becoming a real challenge.
We have content, design, marketing, and other teams all working on different parts of the launch, but information is spread across different tools and conversations.
It's difficult to know who's working on what, what has been completed, what's behind schedule, and what needs attention.
We'd like one central system where everyone can work together, manage tasks, track progress, and have complete visibility throughout the entire launch process.

How we turned the client's challenge into a system their team actually uses.
Understand how the team really works
We spent time with the content, social, and design teams to understand how launches are planned from start to finish. We mapped every stage of the process, identified where work slowed down, where information got lost, and where teams depended on manual follow-ups to move work forward.
Design one shared workflow
Instead of forcing the team into a generic project management tool, we designed a workflow around how Koppoh already operates. Every launch now lives in one shared workspace, giving each team the view they need while keeping everyone aligned on the same timeline.
Build the platform
We developed the platform using Next.js and Supabase, creating a fast, collaborative workspace where tasks, approvals, deadlines, and progress update in real time. As work moves through the pipeline, everyone automatically sees the latest status without chasing updates.
Test, improve, and launch
Before rolling it out across the team, we tested the system during real product launches, gathered feedback, and refined the workflows. The result is a platform that gives everyone a clear view of what's happening, reduces unnecessary meetings, and keeps launches moving from planning through execution.

What changed
Before
- Every Koppoh launch ran over a three to four-month period and involved the content, social, and design teams. Each team managed its work in different tools, making it difficult to keep everyone aligned.
- Content briefs, social calendars, and design requests were all managed separately, so there was no single source of truth for the launch. As deadlines approached, it became increasingly difficult to know what had been completed, what was still in progress, and what was waiting on another team.
- Weekly meetings were largely spent collecting updates and reconciling different plans instead of discussing the launch itself.
After
- Every launch now has a dedicated workspace where the content, social, and design teams work from the same live launch plan.
- Tasks, approvals, and project status update automatically as work progresses, giving everyone real-time visibility without relying on manual updates.
- At any point during a launch, the team can immediately see what has been completed, what is currently in progress, what is overdue, and what is waiting on another team, all from a single workspace.
- The result was a 40%+ improvement in team productivity and more than 10 hours per week returned to the team by reducing manual coordination, status reporting, and unnecessary meetings.
04Why this approach
A generic project management platform would have solved only part of the problem.
The bigger cost was asking three teams to change how they worked just to fit the software. Koppoh needed a system built around its existing launch process, not the other way around.
Building a custom platform meant every workflow, approval, and handoff reflected how the business already operated, giving all three teams one shared source of truth without changing the way they worked.
